LIVE MUSIC

By paying the deposit you agree to the following terms and conditions when booking Radio Club Band.

  1. During a 5 hour period the band will play an equivalent of 4 x 45 minute sets. This can be spaced any way you require. For example, a sit down function might have 45 minutes of music while guests arrive and for entree’s, then the band would break over dinner and formalities, ready for the main dance bracket of 3 x 45 minutes sets for the rest of the night. The same sort of structure would apply to a cocktail function. Of course, within reason we are totally flexible on how you space out our time which means we can fit in to any schedule.
  2. The 5 hour period begins from when the band needs to be fully set up and ready to go. The band will arrive approximately 1 hr prior to start time for setup. Be aware that setting up early or finishing later than the 5 hour mark is considered extra time for the guys and would need to be quoted accordingly.
  3. We provide background music during our breaks. This includes during the main dance bracket. When the dance bracket breaks occur, we often find that people tend to ‘break’ with us for their dessert or coffee. As such, we put on background music during that time also. If you would like some more serious dance hits that are favourites to you, feel free to supply us with a playlist containing those tunes. We can then play them through our PA to keep people up on the dance floor.
  4. If you are providing background music for us to play in our breaks, please bring it on a fully charged device with a normal headphone jack output, in airplane mode with any passcode disabled. Please note we can’t cue music via CD or USB.
  5. Each band member on the day requires a supplier meal. Check with your venue as this might be included in your booking package. If not, they will usually have discounted crew meals on offer. This needs to be provided in addition to our quoted price. We will let you know about the dietary requirements of each band member closer to the big day.
  6. Travel is calculated for our band members using the shortest route on Google maps. This money is passed onto the musician to cover their time and expenses, whilst providing adequate incentive to play out of town. As long as we are aware of the venue upfront, we will include travel costs (if applicable) in the quote we provide you. If your venue is within 45 mins of the CBD, no travel expense will apply.
  7. If you need to use our microphone for speeches, or even if you want to get up and sing, we would love to help, but please do let us know in advance of the event. If your guests ask to come up for a sing we will not say yes unless we know that this is what YOU want. We love to encourage participation throughout the night as it creates a fun energy, but we also need to be in control of our performance area for the safety of our equipment, and to ensure that your entertainment is at its best.
  8. It happens quite often with us that the party is up and dancing so much that no one wants to go home. In that case, when you would like the band to play longer, it is negotiated between you and the band directly on the night using cash only. If you’d like to ensure that the band plays longer on the night, we recommend you book this in advance.
  9. It’s important that you let us know the style of music that you would like played for your event. We’ll use that info when getting the party kicking. That said, it’s also totally fine to leave the music choices 100% to us if you prefer. There are many factors to consider in getting a crowd dancing – once you’ve booked us, we’ll ask you for 10 songs you love, and any songs you don’t, which gives us a working “snap-shot” of your taste helping us steer the music in the right direction at any given moment. If you tell us you dislike country music, we’ll avoid country, similar to other genres and general guidance. On the other hand, If you send us your top 100 songs of all time, we can not guarantee these will be played but we’ll certainly use them as a guide to determine your style preferences. With regards to requests on the night, we love getting the input from your guests especially crowd favourites. Requests are a great way to get interaction involved and more often than not we’ll give it a go if we can. Then, we blend all of that together with songs we know work really well to create the perfect playlist for the night. Of course, we reserve the right to have final say over the next song, only to ensure everyone has the best possible time!
  10. Once the deposit has been paid as per the quote, it is non-refundable in the event that your circumstances should change, including covid restrictions. If your date needs to change due to covid restrictions, we will be able to facilitate a postponement pending availability.
  11. The final balance owing must be cleared into our bank account before the event date. We will email you to remind a few beforehand, but please do not delay in transferring the final balance. If we don’t have it in our account by the morning of your event, we cannot attend and perform for you.
  12. If your event is a wedding you will undoubtedly be planning a first dance, cake cutting, and other special formalities that will make the night meaningful to you. If you have specific songs you would like played for these moment, please let us know well in advance. If we do not happen to know your request(s), we will look into learning one for you (depending on the difficulty etc). We are also totally happy to supply and cue the original pre-recorded version if you prefer to dance to the original song (we won’t be offended if you prefer that – especially for a choreographed dance). If you need us to learn more than one song, it’s definitely possible, please contact us for a quote.
  13. Many small wedding bands are entirely reliant on each member of their ensemble, and if one band member is injured or sick, the show often can’t go on. This is not the case with us! We’re a band capable of large scale corporate shows (14 members and counting), and as such the smaller configurations of the band may vary in precise line up from from show to show. If you attend the showcase (and we recorded your attendance), the musicians you see at the showcase will always be booked as first priority based on availability. If you have indicated a preference for a specific lead singer, we will also book them as first priority or advise if that is not possible. Given the very rare reality of emergencies, sickness and drastic chance in circumstances, of course we do not guarantee 100% to fill any requests. Rest assured if in the unlikely event this does arise, the same size and makeup of your band will be in attendance, and one of our amazing musicians (in their own right – not merely a substitute or understudy) will fill the spot. This is the great advantage of being a large show band that also performs at smaller events. We always have back up and you’ll never be subject to a cancellation! Please be aware then that we will not refund for any change of lineup.
  14. We will work with you leading up to your event to ensure that we have the same agreed schedule. Should there be any deviation on the night, we will do our best to go with the flow and play the equivalent of 4×45 minute sets. Sometimes schedules can go well over time due to factors outside our control, so if there isn’t enough time to complete our remaining sets before the end of the 5 hour period, we cannot continue past 5 hours unless arranged prior or paid in cash on the night. In other words, we are happy to go with the flow and be flexible with our set times throughout the night, but our agreed start and end times must be adhered to.
  15.  If your event is planned for outdoors (or the band is to be located outdoors), please be aware that we require adequate cover & flooring to be provided. We require a level playing surface, and we cannot play on bare grass or dirt. Interlocking rubber matting is the most economical floor covering when playing atop these surfaces. In the event of wet weather, there is potential risk to the band’s equipment, which requires an effective wet weather backup. Water and electricity (and musical instruments) are a disastrous combination, the band will have discretion to decide not to play if any risk is apparent, so please ensure any wet weather contingency plan is adequate.

PHOTOGRAPHY

By paying the deposit you agree to the following terms and conditions when booking Radio Club Photography.

  1. Once you have decided to book Radio Club Photography, we will send you a questionnaire which helps us understand your wedding so we can begin discussions with you regarding timings and what to achieve during this time. Once you’ve supplied that information, we’ll be in touch to ask any questions and chat through schedule once you have that too. Sometimes it takes a while to work out a wedding schedule, and that’s ok! Other times, everything is ready to go right away. Either way we remain available to meet at as many times as needed during the lead up to your wedding.  Please be aware however, when we are not available to meet in person we commit to an online video call or a phone meeting. 
  2. At Radio Club Photography we pride ourselves on candid photography, capturing the mood and moments of your wedding. This means by definition we intentionally limit the amount of posing and micro direction given on the day, preferring instead to capture the moments as they happen. This means the styled shoot is often a time for the bridal party to relax and enjoy the glow from the ceremony. Of course we will guide you on location and certain positions to help frame group and couple shots as needed but be aware our photographers are looking for beautiful real moments you share with your loved ones on the day.
  3. It’s a great opportunity at a wedding to get everyone together for various family photos. Our questionnaire will help us collect exactly what you’re after on the day.  Please be aware that this process requires an appointed assistant from both sides of the family, who is not either the bride or groom. If this person can be aware of their role before hand, it makes it more seamless on the day.
  4. The length of time a photographer is booked for determines the amount of photographs you receive.  A 4 hour package you will receive no less than 400 photos, 8 hours not less than 700 and 12 hours not less than 900.  Of course, we often exceed these numbers depending on each wedding situation.
  5. When delivering your photos we first make them available to you online for download in smaller file versions suitable for socials. We then physically post the full version to each customer in a keepsake wooden USB box. Please allow for a total time frame of 4 – 5 weeks after the wedding date.  Usually we exceed this timeframe by quite a lot and once ready, we deliver right away.  
  6. All our photos are colour graded and edited to our custom look. Be aware however we do not edit any additional in photoshop. Rare exceptions will be made but we reserve the right to decline depending on the request. 
  7. We assume the right to use any or all of the beautiful photos we have taken for social media and website galleries. If you would rather we didn’t, we won’t – we’ll just require this in writing before your event.
  8. All photos taken for you do not include a watermark but if you could tag us in any instagram photos you post @radioclubband
  9. Often wedding schedules can become delayed at no fault to you as the client. In this case we will not simply leave on the exact scheduled time, but will stay to make sure we capture everything outlined on the schedule. In such cases the first 15 minutes will be free of charge, then each 15 minutes thereafter will be charged at $55. Whilst ideally we would approach you on the night to check, it’s not always practical, in which case we’ll always assume you want the extra time and job done in full rather than not. So extra time, if any, will be invoiced after the event, and due prior to release.  If you would not like us to work overtime in the case of schedule creep, please let us know in writing before your wedding date and we will make sure we stay no longer than 15 minutes late.
  10. In the unlikely event that we have a technical malfunction with storage cards or equipment, or unforeseen circumstances makes it impossible for our photographer to attend be it sickness, accident or natural disaster, the most amount refundable to you will be the full amount, depending on how much is lost.  We accept no liability for damages be they emotional or otherwise beyond the full amount. Of course, please know in all our years of shooting we have never had technical issues and we only use professional equipment and backup procedures to ensure this to be highly unlikely. 

VIDEOGRAPHY

By paying the deposit you agree to the following terms and conditions when booking Radio Club Videography.

  1. As part of every Radio Club Band Videography package, you will receive the following 3 videos:
    1. A stunning 3-5 minute cinematic showreel of the film we captured during the time we were there. This is done to a sound track which you can choose in advance. If you don’t choose a song, we can select one for you.  
    2. A recording of your ceremony using at least 2 cameras, with audio.
    3. A recording of your speeches using at least 2 cameras, with audio.
  2. When finished, your videos will be uploaded to Vimeo, with privacy settings on. We’ll send you the 3 links for each video above. If you would like the original footage files of your wedding for further editing or posterity, we charge an additional $350, which includes a 1 TB hard drive with the raw files, delivered to your postal address.
  3. We assume the right to use any or all your footage for social media and website galleries, unless we receive a request in writing before your event. 
  4. Each video package we deliver to you will not contain a watermark, but we’d appreciate tagging us in any social post @radioclubband.
  5. In the event of rain, regretfully we are not able to put the drone up for filming at all. In this uncommon but possible case, we can offer no refund or discount due to not being able to capture drone footage on the day. Having said that, your video will still be amazing and though we can’t make a commitment to do so, we often try to come back to the venue on another day to drone in better weather depending on if our videographer has time and the venue is not too far away.
